Questions & Answers for Module 3 - Work effectively with others

1. Complete the following table, giving a definition of each term and an explanation of how each one helps to develop effective workplace relationships.

Business plan An outline of the business’s goals and objectives and how it plans to achieve them, including time frames. Employees know what the business is aiming for so all employees have a common goal and work together to achieve it.

Performance plan A plan or time-line of when a business wants to achieve a particular aim or goal. Tasks can be divided up and everybody knows what is expected of them.

Anti-discrimination policy It is illegal to discriminate against someone on the grounds of gender, race, age, disability, sexual preference etc. Everybody feels comfortable and there is an avenue of complaint if being discriminated against.

Access and equity principles Equal opportunity in employment – the best person is chosen for the job. Everyone is treated equally and people recognise that effort is rewarded.

Ethical standards Standards based on morals and honesty. People get on better with other people who are honest and decisions are explained.

Quality and continuous improvement processes Work is reviewed and improvements are made to processes in order to increase productivity. Everyone strives for a common goal and all are expected to improve and work well together.

Defined resource parameters Quantity of resources is set or constant. Employees know the boundaries so work must be efficient to maximise productivity.

Job descriptions and employment arrangements Contract of employment outlining rights and responsibilities of employers and employees. Agreeing to the terms before starting – everyone has the same contract so know what to expect.

Team structures Organisation of a group of people working together to achieve a particular task or goal. Everyone knows their role and can work together harmoniously to achieve the task or goal.

Supervision and accountability requirements Instructions for the overseeing or accepting of responsibility for the outcome of a task. Everyone must accept responsibility in the completion of work tasks.

Skills, training and competencies Skills and competencies allow you to complete tasks and training is available in skills you lack. Employees can help each other out when they are having trouble finishing tasks.

Code of Conduct Document setting out what is expected or required of employees while at work with regard to behaviour. All employees know what is expected of them.

4. Explain how the implementation of the following strategies can lead to improvements in team efficiency
Holding meetings: an important way for members to communicate with each other and solve problems.

Brainstorming: many people are able to contribute ideas, particularly when trying to solve a problem, so that the best alternative is adopted and agreed upon by all.

Coaching, mentoring or supervision: enables more experienced personnel to help the less experienced in order to improve the latter’s efficiency and performance.

Formal and informal training provisions: formal includes attending courses whereas informal is often one colleague helping another, which will improve the performance of the person receiving the training.

Internal or external training provisions: internal training occurs on site whereas external is held at a TAFE College or another business premises, depending on the size and resources of the business. All training would result in improvements in awareness, performance and efficiency of the team.

Work experience or exchange opportunities: allow workers to see what is occurring in other work venues so they can share ideas with team members to improve the work performance of team.

Personal study: to improve knowledge and performance for oneself, which can then be shared with other team members.

Career planning and development: to have a plan for the future, which can benefit the team.

Performance appraisals: will identify the need for further training.

Workplace skills assessment: to determine what skills the members of a particular workplace have so that teams can be chosen with the knowledge that the best people for a certain task will be chosen to maximise the outcomes.

Recognition of prior learning: recognising what a person has already learnt to ensure that the most experienced or the person with the most training will be chosen for each task to ensure that tasks are completed on time.
